Umpire Opportunities

Now in its 41st year, MVLA Girls Softball is a 100% volunteer run organization.  Providing our daughters with the opportunity to learn and play softball in a positive, encouraging atmosphere requires the dedication of many parents. As MVLAGS grows, the need for new volunteers grows with it.  Each family will once again be required to volunteer in some capacity for their daughter’s team, to help make the league a success. We are also always on the lookout for more league-level volunteers to help in a variety of capacities.  If you are interested in helping out, please contact one of our Board Members.  We are confident that both you and your daughter will enjoy the time you put into our program.


 

Volunteering For Your Daughter's Team

For the 2011 season, each family will once again be required to volunteer in some capacity to help make the league a success.  Available positions are: Team Manager, Head Coach, Asst. Coach, Chaperone, Uniform Coordinator, Scorekeeper, Banner Parent, Field Crew Parent, Team Sponsor Parent and Snack Shack Parent.  Training is provided for all roles and as in the past, volunteer positions which have direct player contact (Manager, Coach, Assistant Coach & Chaperones) will require a background check. During the registration process you will be asked to specify which of the parent volunteer positions you are able / willing to take on for your daughter’s team. A list of the roles is below.


TEAM LEVEL VOLUNTEER POSITIONS

TEAM MANAGER (Female 21+ years of age):

Has ultimate responsibility for the team as primary supervising female and administrative manager for all practices and games. This includes communication between parents and the league, ensuring player safety and emotional well-being, working with the coaching staff to see that playing time is distributed fairly, dugout management during games, and coordination of team parent volunteers. Manager positions require Board approval.

Time Requirement: Manager attends all games & practices.

HEAD COACH (Must be 21+ years of age):

Plans and oversees all practices and games. Goals are to develop each player and teach overall softball skills and game strategy in a fun and positive manner. The Head Coach also directs and develops the Assistant Coaches. All Coach Positions require Board approval.

Time Requirement: Must be available for at least 95% of all Games & Practices, but ideally 100% of games and practices

ASSISTANT COACH (Must be 21+ years of age):

Works with the Head Coach at all practices and games to teach and develop softball skills in a positive safe environment. All Coach Positions require Board approval.

Time Requirement: Must be available for at least 75% of all Games & Practices, but ideally 100% of Games & Practices

CHAPERONE (Female 21+ years of age):

Attends games and practices to assist the Team Manager as needed. Chaperone serves as the league mandated secondary female presence for player supervision and safety.

Time Requirement: Chaperones attend all games & practices.

FIELD CREW PARENT (1 family per team for 6U, 4 families per team for 8U & up)

The Team Field Crew Parents are responsible for ensuring that the team's games are played on a safe, groomed, and well-marked (painted or chalked) field. Both teams playing will be responsible for each game to spread the work load. The Field Crew Parent is also responsible for putting away the bases, etc., when the team has the last game on the field that day.

Time Requirement: 6U: One hour 2-3 times throughout the season as assigned. 8U: 1-2 hours on several Saturdays as assigned, plus 1 hour for every weekday game; 10U+: 3 hours per week (always on your team’s game days) For 8U and up, four families share this role. SCOREKEEPER (N/A AT 6U)

Keeps game records during league and inter-league games and turns in game records to the Head Scorekeeper and Manager at the end of each game. Acts as scorekeeper of record when their team is the home team and may be called on by the umpire to verify game information. The Scorekeeper must attend all games themselves or ensure that another trained scorekeeper is present at every game. No prior experience is necessary as a scorekeeper training clinic is held before the start of the season. Time Requirement: Keeps score at all games & should arrive 20 minutes before game time.

UNIFORM COORDINATOR

Responsible for uniform distribution and collection for their team. Includes distributing uniforms at the start of the season, and washing / mending and creating an inventory of the uniforms at the end of the season. Please contact Peggy Stattler, our League Uniform Coordinator, if you have further questions about this role.

Time Requirement: 5 - 6 hours total weighted towards start & end of season.

BANNER PARENT

Makes or buys a team banner and brings it to each game to hang on the dugout. The banners need to include the logo / name of the team sponsor.

Time Requirement: varies

SNACK SHACK PARENT

Each team's Snack Shack family will be assigned 6 hours of snack shack duty during the course of season. This can be broken up into two hour shifts and can be scheduled anytime the Snack Shack is open, not only during your child’s game times. Please contact the Snack Shack Board Member if you have further questions about this role.

Time Requirement: 6 Hours self-scheduled during the season

TEAM SPONSOR PARENT

Either sponsors the team themselves or recruits a team sponsor from a business they frequent or with whom they have a contact. The sooner the sponsor is found the better-- even in the next few days after you register your daughter! Ideally the sponsors would be identified no later than February 1st, so the Banner Parent can get the sponsor information at Team Meeting Night. This person also makes sure the Sponsor gets the sponsor plaque at the end of the season. A sponsorship request letter and form along with information about the Sponsorship Program. Volunteering For the League

If you want to have a greater impact making softball available to girls in our community, please consider lending your ideas, expertise, and enthusiasm to a volunteer role for the League.  These opportunities range from a few hours to a full season commitment, and most have flexible schedules.  Volunteer opportunities include the following, plus assisting in any of these roles.

Umpire-In-Chief (UIC):  Maintains the integrity of the Playing Rules of MVLA Girls Softball by overseeing hiring, training, performance and scheduling of qualified umpires.  Defines and runs the Youth Umpiring program for the League.  Handles all requests for interpretation of rules and resolution of game protests.  Member of the rules committees to ensure a thorough knowledge of current rules and serve as final word on rule interpretation.

Assistant UIC:  Assists the UIC in recruiting, scheduling, and managing the Umpire and Youth Umpire program for the League.  Assists in other capacities as needed.

Umpire:  Officiates the game, including beginning and ending the game, enforcing the rules, making judgment calls on plays, and monitoring the conduct and safety of the participants.  This is a paid position.

Youth Umpire:  Girls age 12 and older but under 18 who officiate the game, including beginning and ending the game, enforcing the rules, making judgment calls on plays, and monitoring the conduct and safety of the participants.  This is a paid position.

Fundraising Director:  Directs fundraising activities, including sponsorships, for the League by establishing a committee to handle fundraising and sponsorship ventures as approved by the Board.  Presents a general and financial report on fundraising events to the Executive Board.

Events Coordinator:  Responsible for planning, organizing volunteers for, and promoting League-wide events including Opening Day, Photo Day, Mountain View Parade, Stanford Game, and Closing Day. Actively promotes the visibility of the League through the media, community involvement, website and newsletter.

Field Crew Manager:  Ensures softball fields and facilities used for League practice and play are consistently maintained in a safe condition.  Develops budget and oversees maintenance and purchase of all field and facilities equipment.  Trains Team Field Crew Parents in field set up and take down.  Makes “Rain Out” and cancellation information available to team coaches, managers and players via the website, hotline and/or phone contact.  Maintains the relationship with the Cities of Mountain View and Los Altos for field maintenance and improvements.

Equipment Manager:  Manages budgeting, purchase and inventory of all League equipment used for playing, field preparation and repair.  Oversees distribution and return of equipment to each team ensuring all equipment is in safe and appropriate condition and team bags are equipped with First Aid Kits in cooperation with the Safety Coordinator.

Safety Coordinator:  Defines the League Safety Plan, trains team staff, and promotes the use of emergency procedures in the event of an accident/incident involving any member of the League while engaged in League events.  Ensures first-aid kits are fully stocked and distributed to each team, provides Team Managers with Incident Reporting procedures and forms, and follows up on any injury to a League member.  Investigates field hazard complaints.

Staff Certification:  Defines and manages the volunteer safety program, including background checks and certification compliance.

ASA Liaison:  Manages relationship between the League the local, regional, and national offices of the Amateur Softball Association.  Handles player, staff, and umpire registration, ACE certification issues, rostering, and insurance.

Head Scorekeeper:  Instructs proper scorekeeping procedures to all Team Scorekeepers.  Gathers Game Summary Reports and tabulates team records for each division, tracks pitching eligibility in 8U-16U Divisions and other player and team statistics as needed.  Determines the seeding for season-end tournaments.

Uniform Coordinator:  Budgets and orders uniforms, visors, and socks for League players and staff and performs minor uniform repairs. Works with the Team Uniform Coordinators to distribute and collect uniforms to teams.  Orders League apparel and manages sales on opening day and during season.

Scheduler:  Creates and maintains a master plan of all MVLAGS practices, games, and field assignments including interleague games and post-season playoff games.  Provides the final board-approved master plan to the Umpire-In-Chief and the Field Crew Manager and individual team practice and game schedules to the Team Managers.  Updates and distributes new schedules in the event of rainouts and rescheduled games.

Webmaster:  Oversees and maintains the League website by collecting, reviewing and updating information for publication. Develops new website features to ensure current and new information needs are met.

Snack Bar Coordinator:  Manages food selection, purchase and inventory for the League snack bar. Oversees scheduling of team parents and substitutes, opens and closes Snack Bar and manages the budget and cash box.

Coach Administrator:  Defines and executes the coach development program for the League.  Administers the coach selection process for the League and presenting recommendations to the Board for approval.

Divisional Player Agent:  Administers the team formation process for the teams in their respective division. Acts as a resource to Team managers in their division to provide support, information, or clarification on League procedures and policies, as an escalation point for staff or family questions.  Divisional Player Agents must be female, and must have one year of participation in that age division to qualify.

Member-At-Large:  Actively volunteers to support delivery of programs and services for the League.  Attends all Board meetings, lends expertise, and supports other Board members as needed.

Emeritus Advisor:  Former Executive Board Members who provide valuable historical insight, experience, and expertise necessary for the maintenance and growth of the League.  Available for advice and perspective and may volunteer for specific tasks in their area of expertise or interest or to fill operational Board positions.

Executive Board Positions

MVLAGS Executive Board Members are elected positions and typically serve for two consecutive one-year terms.  Members of the Executive Board oversee the strategic direction and daily operations of the League.  Each Executive Board Member is responsible for guiding and overseeing a subset of the League’s board members and the roles they represent.  A substantial time commitment is required.  Please email us if you are interested or contact a current board member.

President:  The presiding officer of the Board of Directors and Executive Committee, responsible for the general functioning of the League and the logistical operation and coordination of League volunteers. Oversees the Executive Board and all board members and volunteers for the League.  Umpire in Chief, Scheduler, Head Scorekeeper, summer programs, and the emeritus advisors directly report to the President.

Vice-President:  The Vice-President assists the President, and is responsible for the operational activities of the League.  Field Crew Chief, Equipment, Uniforms, Player Development, Coach Administrator, and Staff Certification directly report to the Vice President.

Secretary:  Records the activities of the League and maintains appropriate files, mailing lists and corporate records.  Oversees League communications processes.  Webmaster and Events Coordinator report to the Secretary.

Treasurer:  Receives and distributes League funds and maintains an up-to-date accounting of League funds and budget.  Responsible for all financial filings and oversees all League volunteers involved with income-generating activities.  Fundraising Coordinator and Snack Bar Coordinator report to the Treasurer.

Player Agent:  Registers and oversees the general well-being of all players and team staff volunteers for the League.  Manages the selection of team staff, team formation and maintains and updates confidential information in the League database.  Oversees all League volunteers involved with League personnel and the safety.  Safety Coordinator, ASA Liaison, Player Agent – 6U, Player Agent – 8U, and Player Agent – Upper Division.  Per League bylaws, the Player Agent must be a female.
